Role description
Before
- Do an on-site venue check to ensure that each track has got all the necessary equipment prepared.
- Check if the wifi on-site is sufficient for all the attendees and if not, source for possible providers
- Make a list of all the equipment required for each room.
- Prepare a box of all materials required in each room in advance and label them. Hand them out to session chair of each track.
- Keep in contact with the on-site technicians and save their numbers on the phone.
- Prepare 3 spare laptops for 3 tracks to run in between videos and timing at a corner to indicate break time.
- Make sure all required A/V resources are available and working (sound, etc)
- Check/set display resolution
During
- prepares sound check schedule for all speakers in their assigned track and liaise with session chairs to ensure that every speaker has gone through their sound checks
- Keep in contact with all session chair to ensure smooth operational flow during talks.
After
- Gather all materials from each room and safe keep for next year
Guidelines
Get projector and run slide show at registration (announcements, lost/found items, open space, etc.)
- Spare adapters per room
- Perhaps a spare projector in the speaker's ready room which can be used to test the speaker's equipment out prior to their talk
- A PyCon logo (w/year) to cover up the hotel logo placard on the podiums so that we don't have the hotel name in all the videos AND we have a reminder of the year -- perhaps this idea could mutate into having a sign with the speaker's name and talk title for visibility on the video.
Venue check
- Does the venue have microphones?
- Does the venue have video projectors? The size large enough for attendees?
Keeping track
- Headset mics to free up both hands?
- Buffer zone around A/V setup to avoid RFI
